Switching Porta Potty Rental Software Without Missing a Service Day

The hardest part of new software isn't learning it. It's the switch: moving from what you use now to what you'll use next, without a week of chaos in between. The last article, Portable Toilet Rental Software in Canada, Australia, New Zealand and the UK, covered where the software works. This one covers how to get onto it, whether you're coming from another system, a spreadsheet or paper.

Why Companies Switch

Companies usually switch for one of a few reasons. The old system was built for general field service and doesn't understand units, rentals and weekly service. It charges per user, so adding drivers costs more each time. The spreadsheet broke when a second person started using it. Or the paper system can't keep up with growth.

Whatever the reason, the goal is the same: get onto the new system without missing a service, losing a rental, or forgetting to bill something.

It helps to name one person to own the switch. In a small company that's the owner; in a bigger one it might be the office manager. That person decides what gets imported, checks the Waiting List against the old schedule, and answers the crew's questions in the first week. A switch with no owner tends to drift.

Step One: Export Your Customer List

Most systems and every spreadsheet can export a CSV file. That file is your starting point. PortaPottyBossPro takes a CSV import of an existing customer list, bringing in names, contact information and addresses. Clean it up before you import: remove obvious duplicates and fill in missing phone numbers if you can. The details are in Importing Your Customer List From a CSV File.

Step Two: Load Your Active Sites First

After clients come sites. Not every site in your history matters on day one. What matters is what's active right now: every site with units on it, every site on weekly service, every rental that will need a pickup. For each one, add the site, the units (type, quantity, unit numbers, placement) and the service.

This is the step that protects your weekly service. Once active sites have their services, they show on the Waiting List when they're due.

Go through your current route sheets site by site and tick each one off as it's entered. When you're done, every site that was on a route sheet should be in the software with its units and its service. Any site left unticked is a weekly service that would have been missed.

Step Three: Carry Over Rental Dates

For units already out on rental, enter the delivered date and the rental terms, the days included and the per-day rate after. That way rental tracking picks up where your old system left off, and extra days are billed when those units come back.

Step Four: Cards and Billing Settings

Set up your service list with prices, your sales tax per site, and which clients are Monthly. Cards on file usually need to be re-entered rather than copied from another system. Ask customers to add their card through the customer app, or capture it on the sign-up form, and the office can add cards too.

Step Five: Run Both for a Few Days

Don't turn off the old system on day one. Build the dispatch board in PortaPottyBossPro and check it against your old route sheet. Run drivers from the driver app, with the old list as a backup. Once a few days match and the Waiting List shows what you expect, retire the old system.

Pick a slower week for the switch if you can. The week before a holiday weekend full of events is not the time.

Step Six: Tell Your Customers

Customers will notice new texts, a new customer app and new-looking invoices. A short message helps: you've upgraded your system, here's what they'll see, here's how to choose their alerts and pay online. Customers usually like getting arrival texts and online payment; they just want to know it's really you.

Put your company name at the start of the first few texts so nobody mistakes them for spam. Point contractors and property managers to the customer app, where they'll see all their sites in one place, and remind homeowners they can choose which alerts they get.

Keep Your Old Records

Keep an export of your old system's data for reference, especially past invoices and payment history. You may need to look something up months from now.

The Free Trial Is Your Test Run

The 14-day free trial needs no credit card, which makes it a good place to do the import and run real jobs before you commit. If the switch goes smoothly in the trial, you'll know it will go smoothly for real. For everything the software covers, see the porta potty rental software overview.
