Billing Extra Pump-Outs Without Arguing About Them Later
Weekly service covers a normal week. Some weeks are not normal. A crew of forty shows up for a concrete pour, a festival runs three days instead of one, a site sits next to a lunch truck. The unit fills early and someone calls for an extra pump-out. That visit is real work, and it should be on the invoice.
Why Extra Pump-Outs Get Disputed
Delivery and pickup fees are covered in Delivery and Pickup Fees on a Porta Potty Invoice. Extra pump-outs are trickier, because they are not on the original quote and the customer did not always ask for them personally.
The usual problem: a foreman on the site calls and asks for an extra service. The truck goes. Three weeks later the contractor's office sees a charge nobody in the office approved. Now you are arguing about a $45 line, and the customer is irritated even if they end up paying it. The fix is to settle the price before the truck goes and keep a record of who asked.
Put the Price on the Price List
An extra pump-out should have a set price on your service list, just like weekly service does. Many companies price it a little above a regular weekly visit because it breaks into a planned route. Whatever the number, it should be the same for every customer of that type, so nobody on the phone has to make it up.
For a contractor account, tell them the extra pump-out price at sign-up and put it in the quote. When the foreman calls later, the charge is already agreed. If a customer sees the price in writing before the first unit lands, they almost never dispute it.
Taking the Request
Requests for extra service come in by phone, by text and through the customer app, where customers can request service themselves. However it arrives, turn it into a job right away with the requester's name in the notes: "Extra pump-out requested by site foreman Mike, 10/16." That one line ends most disputes before they start.
Two-way texting helps here too. When a foreman texts the office asking for a pump-out, the reply confirming the price and the day is a written record tied to the customer.
Getting It on the Route
An extra pump-out lands on the Waiting List map like any other job that needs to go out. Dispatch drops it onto the truck already working that area, sets the route order, and the driver sees it in line with the rest of the day. Because the unit type, quantity and placement notes are on the job, the driver knows exactly which units to service when they arrive.
Photos Close the Loop
When the driver arrives, a photo of the full tank before service is the best evidence you will ever have that the extra visit was needed. A second photo after shows the unit clean and stocked. The tech app saves photos on the job, so they are attached to the work the customer is being billed for. See Settling Porta Potty Billing Disputes With Service Photos for how to use those photos when a charge is questioned.
On the Invoice
Give each extra pump-out its own line with its date, separate from the weekly service. A clear invoice reads:
- Weekly service, 10/14
- Extra pump-out, 10/16 — requested by site foreman
- Weekly service, 10/21
When the extra visit sits between two regular ones with a date and a reason, it explains itself. If the account is billed monthly, it appears on the monthly statement with the site address next to it, the same as every other job.
When Extras Become a Pattern
A site that needs an extra pump-out every week does not have a pump-out problem. It has a capacity problem. Two units are doing the work of three, or weekly service should be twice weekly. Look at extra charges each month and call customers who keep running over. Offering the right setup builds trust, keeps the units cleaner and turns a recurring argument into a recurring charge they agreed to. The Month-End Porta Potty Billing Review: A Checklist for the Office is a good place to catch those patterns.
It also helps to look at timing. If the extra calls always come on Thursdays before a weekend of work, move the weekly service to Thursday and the extra visit may disappear on its own.
Get Paid for Every Truck Visit
Extra pump-outs are some of the most profitable visits on a route because the truck is already nearby. They only pay if they are billed, and they only get paid without a fight if the price was agreed first. Learn more on the PortaPottyBossPro billing software page.
