The Month-End Porta Potty Billing Review: A Checklist for the Office
Month-end in a porta potty office often means a pot of coffee, a stack of tickets and a long day of matching paper to invoices. It does not have to be. With the work and the billing in one system, month-end becomes a short checklist.
Why a Review at All
Skipped Stops and the Invoice: Billing Only for Porta Potty Service That Happened covers handling skipped stops honestly. Skips are one of several things a monthly review should catch before bills go out.
Even good billing systems need a human look once a month. Software does the routine work, but people catch the odd things: a site that changed hands, a price that was never updated, a unit that has been out far too long. Thirty minutes to an hour of review prevents the kind of mistakes that take weeks to unwind.
1. Completed Work That Has Not Been Billed
Start with jobs completed this month that have not turned into invoices or landed on a statement. When cards are charged on completion, this list should be short. Anything on it is either an exception or a mistake, and both are worth knowing about before the month closes.
2. Units Past Their Included Days
Look at rentals that are out past their included days. The office lists show it plainly: "Out since 10/3 (12 days, 4 extra)." Each one is either a customer who wants to keep the unit and pay the daily rate, or a forgotten pickup. Text each customer to ask. Either way, extra days will be on the bill when the unit comes back. 3. Skipped and Overdue Services
Check the Waiting List for services that are overdue past the grace period and the month's skipped stops. Were they made up? Do any skips deserve a trip fee under your terms? Does any customer need a call to explain a missed week?
4. Extras and Fees
Scan for extra pump-outs, damage charges, cleaning fees and trip fees recorded on jobs this month. Make sure each one has a date, a reason and, where it matters, a photo. A fee without backup is a dispute waiting to happen.
5. Contractor Statements
Accounts set to Monthly get one statement covering every job at every site. Before they go out, skim the big ones by site. Every active site should show its weekly services. Closed sites should show their pickup. Nothing should look out of place. Two minutes per large account is enough.
6. Failed Card Charges
List the card charges that failed this month and make sure every customer has been contacted. Most will have updated their card in the customer app already. The rest need a text or a call.
7. Past-Due Invoices
Review open invoices by how late they are. Move each one to the next step of your follow-up routine. Any account running consistently late is a candidate for card on file going forward. Past-Due Porta Potty Invoices: A Follow-Up Routine That Gets Paid has the routine.
8. Prices and New Customers
Check that new customers added this month have their sites, tax and billing settings right: card on file or Monthly, correct unit types, correct prices. A mistake at setup repeats on every invoice until somebody catches it, so catch it in the first month.
9. Look for Patterns
Once the individual items are handled, step back for a minute. Which sites needed the most extra pump-outs? Which customers had the most skips? Which accounts paid late again? Patterns are where the real savings are. A site that needs extras every week needs another unit. A customer who is always late needs a card on file. A route with constant skips needs a different order or better access notes.
Write down one or two changes to make next month, and check whether they worked at the next review. Over a year, those small changes add up to fewer disputes, fewer late payments and less time spent at month-end.
What Not to Do
Do not hold invoices until month-end so you can review them all at once. Invoicing on completion and reviewing at month-end are not in conflict. The review is a safety net, not a reason to slow down billing.
Make It a Standing Appointment
Put the review on the calendar for the same day each month and give it to one person. The checklist does not change much from month to month, which is the point. To see how jobs, rentals and invoices sit in one place, visit PortaPottyBossPro porta potty billing software.
