Restroom Trailers for Weddings and Upscale Events: Booking the Premium Option
For a formal wedding, a gala, a corporate party or a high-end fundraiser, a row of standard units may not match the event. A restroom trailer gives guests running water, flushing toilets, lights and a mirror, and it changes how the host feels about the whole setup. If you own trailers, event customers are where they earn their keep.
When a Trailer Is the Right Choice
In ADA Units and Hand Wash Stations at Events: Putting Them on Every Quote, we covered the items most customers forget. Restroom trailers are the opposite: customers who want one usually ask. Your job is to make sure they understand what the trailer needs on site and what it costs, so there are no surprises on the day.
Good fits for a trailer include:
- Weddings at farms, barns, vineyards and private estates
- Galas and fundraisers in tents
- Corporate events and company parties
- VIP and artist areas at festivals
- Upscale private parties and milestone birthdays
The Site Questions Are Different
A standard unit can go almost anywhere a truck can reach. A trailer needs more. Ask before you quote:
- Is there a level spot big enough for the trailer, and can a truck pulling it get there?
- Is there power nearby, or will it need a generator?
- Is there a water hookup, or will it run from its own fresh water tank?
- Are there low branches, soft ground, narrow gates or tight turns on the way in?
- How long is the event, and how many guests will use the trailer?
Put the answers on the site record. Power and water details go in the placement notes so the driver knows exactly what to expect: "Trailer on the gravel pad behind the barn. Power from the outlet on the barn wall, 50 feet. No water hookup, use onboard tank."
Quoting a Trailer
Restroom Trailer is its own unit type in PortaPottyBossPro. Build the estimate from your service list with the trailer, delivery, setup, any attendant service you offer, any generator you supply, and pickup. Your prices are your own. The customer approves the estimate online, and the approved estimate becomes scheduled services.
Trailers tie up a valuable piece of equipment for a whole weekend, so most operators take a deposit and a card on file at booking. We cover that in Deposits and Card on File When Booking Event Porta Potties.
Pairing a Trailer With Units
A trailer alone may not serve a large crowd. Many upscale events pair a trailer for the main guest area with an ADA accessible unit, since many trailers have steps, and a few standard units for staff, vendors or the far end of the venue. Suggest that combination when it fits, and explain it. A host who sees you thinking about their caterers and their grandmother trusts your advice.
Delivery Timing and Setup
Trailers often go out earlier than standard units, because setup takes longer and the venue may want it in place before tables, tents and lighting go up. Ask the planner when the venue opens for setup and schedule the delivery job on the dispatch board to match. A driver with a trailer on the hitch should not be fighting a tent crew for the same driveway.
The driver sees the job on their phone in route order, with the unit type, the placement and power notes, and a Map button for navigation. The planner gets an automatic "on the way" text and an "arrived" text. The driver's photos of the trailer in place stay on the job.
During the Event
For a one-night event, a trailer with its own tanks usually lasts the night. For longer events, or if you offer an attendant, schedule a service visit as its own job and put the timing in the notes, so the trailer is pumped and restocked before guests arrive the next day.
Pickup and Billing
Pick up the day after, or when the venue says you can get in. Rental tracking records the delivered and picked-up dates. If the planner asks you to leave the trailer an extra day, the extra days bill at your per-day rate automatically.
When the pickup is completed, the invoice is created and the card on file can be charged for the balance. The planner or couple can see the invoice in the customer app.
Trailers Win Referrals
Every guest at an upscale event sees your trailer. Planners and venues book many events a year. A trailer delivered on time, clean and in exactly the right spot is the best kind of marketing. Ask for a review after the event, and keep the venue's details on file for the next booking there. For more on how event bookings fit together, visit the event porta potty rental software page.
