Deposits and Card on File When Booking Event Porta Potties
An event booking is a promise to keep units, a truck and a driver available on a specific day. In peak season, that promise has real value, because you are turning away other customers who wanted the same date. A deposit and a card on file make the customer's side of the promise as real as yours.
Why Deposits Matter for Events
Once an estimate is approved, as described in Online Estimate Approval for Event Porta Potty Rentals: Yes in One Tap, the date is on your books. But an approval alone does not stop a customer from booking someone else and forgetting to tell you. A deposit does. Customers who have paid something are far more likely to call you if plans change.
There is also a planning benefit. When the deposits are in, you know which weekends are truly booked and which are still soft. That tells you whether to take one more festival on a crowded Saturday, or whether to hold units back for the wedding customers who usually call late in the season.
A card on file also solves the other big event headache: getting paid after the event. Event customers are often one-time customers. Once the party is over, chasing a check from a homeowner or a volunteer treasurer is slow and frustrating.
Setting Your Policy
Your deposit policy is a business decision. Some common approaches:
- A flat deposit per booking, the same for every small event
- A percentage of the total for larger events and trailers
- No deposit, but a card on file that is charged when the job is complete
- A larger deposit for peak-season Saturdays and holiday weekends
Whatever you choose, write it on the estimate and your website so customers see it before they approve. A policy that is clear up front rarely causes arguments later. Pair it with a clear cancellation policy, which we cover in Event Porta Potty Cancellations and Date Changes: Setting a Policy and Keeping It.
Collecting the Card at Booking
There are two easy ways to get a card on file in PortaPottyBossPro. The first is the sign-up form on your website, which collects the customer's details and captures their card at the same time. The sign-up lands in Form Responses, and one click converts it into a client with the card already attached.
The second is the customer app. A customer can add or update their card on file there, which is handy when you booked them over the phone and need the card afterward. Cards are stored with Stripe, so your office never handles the card number.
Charging the Deposit
To collect a deposit, many operators create an invoice for the deposit amount when the booking is confirmed and charge it to the card on file. The customer sees the invoice and receipt in the customer app. Keep the invoice line clear, such as "Deposit for June 14 event," so the final bill makes sense.
If your policy is card on file with no deposit, you can skip this step and let the full charge happen at completion.
Charging the Balance
When the driver completes the pickup in the driver app, the job can create the invoice and charge the card on file. The final invoice shows the event lines and any extra days from rental tracking. Add a line for the deposit already paid so the customer can see how the numbers add up. If you prefer, charge on a schedule instead of at completion.
Customers can also pay online in the customer app if they would rather use a different card or pay themselves.
When a Charge Fails
Cards expire, and banks decline charges. If a charge fails, the invoice stays open and past-due follow-up kicks in. Send a text asking the customer to update their card in the customer app. Most fix it the same day. Taking the card at booking, rather than the day before the event, gives you time to sort out problems before they matter.
Accounts and Repeat Organizers
Not every event customer needs a deposit. A church that has booked with you for years, or a fair board with a long history, may be set up differently. Clients set to Monthly billing get one statement each month covering every job at every site, each line labeled with the site address. Use your judgment about who needs a deposit and who has earned trust.
Protecting Your Weekends
Deposits and cards on file are not about distrust. They are about making sure the weekend you held for a customer is a weekend you get paid for. For more on how payment fits into the event workflow, visit the event porta potty rental software page.
