The Online Sign-Up Form for Event Porta Potty Rentals: Card Captured, Client Created
Some event customers want to talk through their plans. Others just want to book. They know the date, the address and roughly how many units, and they would rather fill out a form at 10pm than call your office at 10am. The online sign-up form gives those customers a way to book, and gives you their card at the same time.
Booking Without a Phone Call
In Tagging Event Porta Potty Customers So You Can Find Them Next Season, we covered keeping track of customers after the event. The sign-up form is about the start: getting a customer from your website into your system as quickly as possible, with everything you need to serve and bill them.
Request Form or Sign-Up Form
PortaPottyBossPro gives you two forms for your website:
- The request form, for customers who want a quote. The request lands in Form Responses, and the office builds an estimate.
- The sign-up form, for customers ready to book. It collects their details and captures a card on file at the same time.
Many operators use both. The request form handles weddings, festivals and anything that needs a conversation. The sign-up form handles straightforward bookings like a single unit for a backyard party or a standard setup for a small event.
Link the sign-up form from the pages of your website where event customers land, such as a page about party rentals or graduation season. A customer who is ready to book should not have to hunt for the form. Link the request form from the pages about weddings, festivals and larger events, where a conversation usually comes first.
What the Sign-Up Form Captures
The sign-up form collects the customer's name, contact details and the address where the units go, along with the services and pricing you offer. The card is captured through Stripe, so your office never handles the card number.
The sign-up lands in Form Responses, where the office can see everything the customer entered. One click converts it into a client, with the card already on file.
That one click matters. Without it, someone in the office reads a form submission, creates a client by hand, types in the address, calls the customer for a card and enters it. Every one of those steps takes time and invites mistakes. Converting the sign-up directly keeps what the customer typed exactly as they typed it.
Why the Card Matters
For event bookings, a card on file solves two problems. It tells you the customer is serious about the date, and it means you can charge the balance when the pickup is completed without chasing a check. Small event bookings in particular are not worth chasing. A card on file keeps them profitable. We covered this in more depth in Deposits and Card on File When Booking Event Porta Potties.
After the Sign-Up
Once the sign-up is converted into a client, the office checks the details, adds placement notes and site contacts, and schedules the delivery and pickup. The jobs land on the Waiting List and get assigned to a truck and day on the dispatch board.
Send a confirmation text so the customer knows the booking is real. Two-way texting brings any reply back to the office, which is a good time to ask about placement: "Where would you like the unit? Any gates or soft ground we should know about?"
Pricing on the Form
Customers on the sign-up form see the services and pricing you choose to show. Keep the choices simple for events: a standard unit for a weekend, an ADA unit, a hand wash station, and maybe a package for small parties. Anything more complicated is better handled through a quote.
Make sure what customers see matches your estimates and your service list, so a customer who signs up online pays the same as one who calls.
When a Sign-Up Needs More
Sometimes a customer signs up for one unit, and their details make it clear they need more, such as a guest count of 200. Reach out before the event with your recommendation. It is better to suggest more units now than to have the customer blame you for long lines later.
Check new sign-ups for anything else that looks off, too: a delivery address that is a mailing address, a date that falls on a weekend you are full, or a venue that needs a trailer rather than units. A short text before the event clears it up, and the customer sees you are paying attention.
Booking at Any Hour
Event customers plan at night and on weekends. A sign-up form on your website takes bookings while the office is closed, with a card on file and everything you need. For more on how event bookings fit together, visit the event porta potty rental software page.
