Reports on Porta Potty Service Visits per Week: Knowing What Your Trucks Did
The Numbers Behind the Route
Requests from the customer app, covered in Customers Requesting Porta Potty Service From Their Phone, add work to the week. To run a portable toilet company well, you need to know how much work that is and whether your trucks are getting it done. How many visits went out this week? How many were planned? Which truck carried the most? What did the week bring in?
On paper, those answers take an afternoon with a calculator. In software, they should be a few clicks.
Daily Totals on the Dispatch Board
The Scheduled List, or dispatch board, shows jobs by day on a week strip. For each day, it totals the number of stops and the dollars per service. Filter by truck to see one truck's load. That gives you three views at once:
- How many service stops each truck is carrying each day.
- How the work splits between weekly service, extra pump-outs, deliveries and pickups.
- What each day is worth in revenue.
Look at the week strip and you can see whether the week is balanced or whether one day is carrying too much.
Visits per Week
Visits per week is the number most owners care about, because it is the clearest measure of the recurring business. Count the service stops on each day of the week strip and add them up. If you service the same number of sites every week, the number should be steady. If it is growing, you are adding sites. If it is dropping, find out why: jobs ending, sites lost, or visits being missed.
Compare planned visits against completed ones. A gap means skipped stops or a truck that did not finish its route.
What the Waiting List Tells You
The Waiting List is a live report of its own. The number of due and overdue pins at the start of each day tells you how well you are keeping up. A healthy operation has due pins that get assigned and cleared, and very few overdue pins. A growing number of overdue pins means your trucks are not keeping up with your customer base, and it may be time for another truck or another driver. Reports on Completed Work
PortaPottyBossPro includes reports that let you look back at completed work and billing. Use them to check visits completed over a period, revenue by service, and what each customer was billed. These answer questions like how many extra pump-outs you ran last month or how much a contractor's sites brought in over the year.
Using the Numbers
Numbers only help if they change decisions. Some questions to ask each week:
- Is any truck consistently overloaded? Move sites to balance it.
- Are extra pump-outs growing at certain sites? Those sites may need more service.
- Are overdue pins showing up every week? Find the cause before complaints start.
- Is revenue per stop where it should be? Check your pricing on low-dollar stops.
Per-Truck View
Filter the dispatch board by truck to see each driver's week. A truck that carries far more stops than the others either has the densest area or is being overloaded. A truck with fewer stops but higher dollars may have more restroom trailers or event work. Knowing the difference helps you plan hiring and routes.
Revenue Follows Visits
Every completed visit becomes a line on an invoice, so visits and revenue move together. When visits per week grow and revenue does not, check whether extra pump-outs are being billed. Billing Weekly Porta Potty Service: Monthly Statements That Match the Visits covers billing weekly service so it matches the visits.
Numbers You Could Not Get on Paper
On a paper route sheet, finding out how many visits went out last month means counting checkmarks across a stack of pages, and it only works if every driver checked every box. When drivers start and complete stops in the driver app, the record builds itself as the day goes. Nobody has to transcribe it at the end of the week, and the office can trust that a completed stop was actually completed. That is what makes weekly numbers worth looking at in the first place.
