Porta Potty Rental Software: The Complete Guide for Portable Toilet Companies
Most portable toilet companies start the same way. A truck, a handful of units, a phone that rings all day, and a notebook on the dash. It works until it doesn't. One week a contractor calls asking why his units weren't serviced, a homeowner says the unit from her yard party is still sitting in the driveway, and you realize three invoices never went out. That's usually the week owners start looking at software. This guide walks through what porta potty rental software does from end to end, so you know what you're looking at before you pick one.
What Porta Potty Rental Software Is
Porta potty rental software is the system that holds your whole operation in one place: who your customers are, where their sites are, which units are out, when each site needs service, which truck is going where today, and who owes you money. Instead of a whiteboard in the yard, a spreadsheet on the office computer, and a stack of paper tickets in the truck, everything lives in one record that the office, the drivers and the customers all see their own slice of.
Generic field-service software can schedule a visit to an address. Portable toilet work needs more than that. You need to know what's sitting on the site, how many units, which unit numbers, where they're placed, how long they've been out, and when the next pump-out is due. PortaPottyBossPro was built around those questions.
Who It's For
It's for the one-truck owner who drives the route in the morning and does the invoices at night, and for the company running six trucks with a dispatcher and a part-time bookkeeper. The small operator mostly needs to stop forgetting things: the weekly service that slipped, the extra days nobody billed. The bigger company needs the office and the drivers working off the same plan, without a dozen phone calls a day to confirm where a truck is.
The daily flow is the same at either size, so the same tool fits both. A small company just has fewer trucks on the dispatch board.
The Daily Workflow, End to End
Here's how a job moves through PortaPottyBossPro:
- A call, a website request or an online sign-up comes in. The office enters a delivery, or the sign-up lands in Form Responses and converts to a client in one click.
- The job goes onto the Waiting List, a live map and list of every delivery, weekly service, extra pump-out and pickup that still needs to go out.
- From the Waiting List, the office assigns jobs to a truck and day on the Scheduled List, the dispatch board, and sets route order by dragging or by auto-routing Closest First or Furthest First from the yard.
- The driver logs in on their phone with the company login and a personal PIN, and sees the day's jobs in route order with the units, placement notes and a navigation button on every card.
- The driver taps Start and Complete. The customer gets automatic on-the-way and arrived texts. On completion the card on file can be charged and the invoice is created.
Nobody retypes anything. The address the office entered is the one the driver navigates to, and the units the driver drops are the ones the invoice bills for.
Units, Rentals and Weekly Service
Every job carries its units: the unit type (Standard, Deluxe Flushing, ADA Accessible, High-Rise or Crane, Hand Wash Station, Restroom Trailer), the quantity, the unit numbers and placement notes that say where they go on the site. Those show under the address on the office lists and on the driver's phone, so the driver dropping two Standards and an ADA at the north gate knows exactly that before leaving the yard. The details are in Units on Every Job: Type, Quantity, Unit Numbers and Placement.
Rental tracking records the delivered date, the picked-up date, the days included in the rental and a per-day rate after that. The lists show something like "Out since 10/3 (12 days, 4 extra)", and those extra days are added to the invoice automatically as an "Extra rental days" line. That one feature catches money most paper systems lose.
Weekly service works off each service's minimum days between visits. Once a site is serviced, it drops off the Waiting List and comes back on its own when it's due again. Pins are colored by status: not due yet, due now, or overdue once a site passes a 7-day grace. You don't keep a separate calendar of who gets serviced on Tuesday; the list tells you.
The Driver App and the Customer App
The driver app runs in the phone's browser on iPhone or Android and can be installed to the home screen. Each card shows the address, a Map button for navigation, the units and placement, notes, and Start, Skip and Complete buttons. Drivers can take photos on the job. Crew GPS shows on the office map, so the office can answer "where's the truck" without calling the driver.
Your customers get their own app. On their service day they can see the route on a live map, with a line like "You're stop 12 of 20 — the crew is 5 stops away". They can request service, sign up for services, update their card on file, see invoices and pay, and rate and refer you. Each customer picks their alerts: the night before, when they're next, and when the tech arrives.
Texting, Billing and Monthly Accounts
The office can text customers back and forth from inside the software, and automated reminders and alerts go out by text and email. Plans include a monthly text allowance of 500, 1,000 or 2,000 segments, sent plus received, with extra texts available.
Billing runs off completed work. Invoices carry line items and sales tax per site, cards on file are charged through Stripe, and you can auto-charge on completion or on a schedule. Customers can pay online from the customer app, and past-due follow-up goes out without you chasing it by hand.
Contractors and other accounts set to Monthly get one statement a month covering every job at every one of their sites, each line labeled with the site address. A builder with five projects gets one bill, not twenty.
Getting Started and Choosing Well
Switching is mostly about getting your customer list in. PortaPottyBossPro takes a CSV import of an existing customer list, and from there you add your service list, units, trucks and employees. Most companies can be entering real jobs the same day.
Plans are $59, $89 and $199 a month (Start, Pro and Crew), with a 14-day free trial and no credit card. When you compare options, test the daily flow with real jobs: put a delivery on the Waiting List, dispatch it, complete it on a phone and look at the invoice. If any step needs a workaround, you'll feel it every day.
