The Time Clock in the Porta Potty Driver App
Ask most small porta potty companies how they track hours and the honest answer is a paper sheet on a clipboard, a text to the owner, or a Friday afternoon of everyone trying to remember when they started on Tuesday. That works until there is a disagreement over overtime, or until the owner tries to figure out why one truck costs so much more than another.
Clock In Where the Route Starts
The driver app runs on the phones your crew already has, as covered in iPhone or Android, No App Store: Putting the Driver App on Phones Your Crew Already Has. The time clock lives on that same phone. A tech logs in with the company login and their personal PIN, clocks in, and looks at the route. At the end of the day, they clock out.
Because each tech has a personal PIN, their clock-ins are their own, even on a shared truck phone. Two techs on one truck for a big event weekend each have their own hours.
Why Recorded Beats Remembered
Hours written down at the end of the week are guesses. People round up, forget the extra hour on Wednesday, or mix up days. Hours recorded when they happen are a record. That protects the business from paying for time nobody worked, and it protects the tech from losing time they did work.
It also ends the Friday chase. Instead of collecting sheets and texts, the office looks at the hours that are already there.
Recorded hours also help when the season changes. Porta potty work swings hard between a slow winter and a packed summer of events and construction. When you can look back at real hours from last July, you can plan how many techs you need this July, instead of guessing and finding out in the middle of a holiday weekend that the crew is already stretched.
A Simple Morning Routine
The clock fits naturally into the start of the day:
- Arrive at the yard and log in
- Clock in
- Look over the whole route and check the unit types for supplies
- Load the truck and do the pre-trip check
- Tap Map on the first card and go
And at the end:
- Complete or skip the last stop
- Return to the yard, dump, wash down
- Clock out
Decide your own policy on when the clock starts and stops, whether it is arrival at the yard or the first stop, and make sure every tech follows the same rule.
Write the policy down and go over it on the first day, the same way you would explain the truck checklist. Techs do not mind rules nearly as much as they mind rules that change depending on who they ask.
Hours and Routes Together
Hours are more useful when you can see them next to the work. A tech who worked ten hours and completed thirty stops had a very different day from one who worked ten hours and completed fifteen. On the office side, completed jobs, skips and crew GPS help explain the difference. Maybe the second tech had three deliveries and a long drive. Maybe the route needs to be rebalanced. The dispatch board shows the total stops and dollars per day for each truck, which makes it easier to build fair days.
Owner-Operators Too
If you run the truck yourself, the time clock is still worth using. It tells you how many hours your route actually takes, which is the number you need when you decide whether to hire your first tech or raise prices. See The Owner-Operator's Porta Potty App: Pumping, Dispatching and Billing From One Phone.
Fixing Mistakes
Someone will forget to clock out. It happens. The fix is a quick note to the office the same day so the hours can be corrected while everyone remembers. A habit of checking hours weekly catches these before payroll, not after.
Breaks and Lunch
Set a clear policy for lunch and breaks, and tell techs how to handle them in the clock. Some companies have techs clock out for lunch; others deduct a fixed lunch. Whichever you choose, write it down and apply it to everyone. Consistency avoids arguments later.
Respect the Tech's Time
A time clock in the app is not a tool for squeezing techs. It is a tool for paying them correctly and running routes that end at a reasonable hour. Techs who see that their hours are recorded fairly, and that the office uses the data to balance routes rather than to nitpick, tend to trust the system and use it well.
The Short Version
Clock in and out on the same phone that runs the route, with each tech's hours tied to their own PIN. For more on the app, visit the PortaPottyBossPro driver and tech app page.
