Service Photos: Proof of Every Pump-Out and Every Placement

In this business, the work disappears the moment it is done. A clean, restocked unit looks the same at 10 am as a unit nobody touched, until someone opens the door. That makes porta potty service one of the easiest jobs in the world to dispute. "Nobody came." "It was never pumped." "You put it on the wrong side." Photos are the answer.

Photos From the Job Card

Before tapping Complete, as covered in Start, Skip, Complete: The Three Buttons That Run a Porta Potty Route, the tech takes photos from the job in the driver app. The photos attach to that job. They are not sitting in the tech's camera roll mixed in with family pictures, and they are not texted to a group chat where they get lost. They are on the job, where the office can find them.

What to Photograph

The most useful photos answer the questions customers ask most:

Two or three photos per stop is plenty. The goal is proof, not a portfolio.

Light matters more than people think. A photo taken into the sun at 7 am, or inside a dark unit with no flash, proves very little. Step to the side so the sun is behind you, open the door wide, and check the picture before moving on. It takes five seconds to retake a bad photo at the stop and a lot longer to explain a useless one to a customer two weeks later.

Placement Photos Prevent Moves

On delivery day, a placement photo paired with the placement note is a record of exactly where the units were set. If the super calls two days later saying the unit is in the way, the office can look at the photo and see whether it was set where the note said or whether the crew moved it.

That turns an argument into a simple question: do you want it moved? Sometimes the answer is yes, and that is a service you can charge for. Sometimes the photo shows the unit is exactly where requested, and the conversation is short.

Service Photos Settle Disputes

The most common complaint in portable sanitation is "you did not service our unit." When the office can see the job was completed at 8:14 with a photo of a clean unit with the right number on the door, most of those complaints end on the first call.

Customers are not always lying when they say this. Sometimes a crew used the unit heavily after service and it looked untouched by noon. A time-stamped completion and a photo help the customer understand what happened, and might lead to a conversation about adding a second weekly service or an extra pump-out. Damage and Vandalism

Units get tipped, burned, broken into and spray-painted. When a tech finds damage, a photo before anything is touched protects the company. It shows the condition the unit was found in and supports any conversation with the customer about who pays for it. Note the damage on the job too, so the office knows to follow up.

Making Photos a Habit

The hardest part of photos is remembering to take them. A few habits help:

New techs pick up the habit fastest when it is part of their first-day training. When every stop ends with a photo and then Complete, it stops feeling like an extra step.

Owners can help by looking at the photos and saying something about them. A quick "nice clean job on the Oak Street units" tells a tech the pictures are actually seen. A quick "I cannot see the unit number in these" fixes a bad habit in one week instead of letting it run all season.

Photos and the Office

For the office, photos are a tool for every customer conversation. Questions about service, placement, damage or a pickup all have a picture to go with them. For the owner, photos are a way to check quality on a route without riding along. A quick look at a tech's day shows whether the units are being left clean.
