From Approved Quote to First Porta Potty Invoice
Most billing mistakes start before the first invoice. A price quoted on the phone, a deal written on a napkin, a quote in an email nobody saved. When the first bill goes out, it does not match what the customer thought they agreed to. The fix is a straight path from the quote to the invoice.
Where Billing Really Starts
From Price Sheet to Invoice: Setting Up Porta Potty Services So They Bill Right covers building the service list that every quote draws from. This article follows a single customer from that first quote all the way to their first bill.
The quote is the first billing document the customer sees. If the quote and the invoice tell the same story, the customer pays. If they tell different stories, the customer calls. Everything in between — scheduling, delivery, service — should carry the quote's details forward without anyone retyping them.
Build the Estimate From the Service List
In PortaPottyBossPro, estimates are built from your service list. Pick the unit types and quantities, the rental, the weekly service, delivery and pickup, and any extras the customer wants. Because the prices come from the list, the quote matches every other quote for that kind of job. No one has to remember the price of an ADA unit or a hand wash station.
Put the Terms on the Quote
The quote is the right place for everything the customer needs to know before saying yes: included rental days and the daily rate after, the extra pump-out price, delivery and pickup fees, deposit or card-on-file requirements, damage and cleaning terms, and how often they will be billed. Terms on the quote are terms the customer agreed to. Terms added later are terms they argue about.
Online Approval
The customer approves the estimate online. No printing, signing and scanning. The approval is recorded, and the approved estimate becomes scheduled services. That is the step where most paper systems lose information, and here nothing is lost: the services, units and prices on the approved quote are the ones that get scheduled.
Delivery Starts the Clock
The delivery lands on the Waiting List map and dispatch puts it on a truck. The driver sees the unit type, quantity, unit numbers and placement notes on their phone, sets the units and completes the job. The delivered date starts rental tracking. From there, weekly service comes due on its own based on the days between visits.
Collect the Card Early
If the customer signed up through the sign-up form, their card is captured already. If they came in through a quote, ask them to add a card in the customer app when they approve. With a card on file before delivery, the first invoice can be charged the moment it is created. See Card on File for Porta Potty Customers: Getting It and Using It.
The First Invoice
The first invoice is the one that sets expectations for every invoice after it. Check it before it goes out, even if everything else is automatic. Does it match the quote? Are the delivery fee, the rental and the first service on separate lines with dates? Is the site address there? Is the tax right for that site? Getting the first one right means the customer learns to trust the rest.
When the Job Changes
Jobs rarely stay exactly as quoted. A contractor adds a unit, asks for twice-weekly service or moves units to a new site. Each change should go through the same path: update the services, let the schedule follow and let the invoice reflect what was actually done. If the change is big, send an updated estimate for approval so there is a record.
Quotes for Contractors With Many Sites
A contractor bidding several jobs may ask for quotes on sites that do not exist yet. Build each quote against the site it is for, so that when the job starts, the approved services land on the right property under the right client. When the contractor wins three of five bids, only those three become scheduled services, and each one bills to its own site on the monthly statement.
Following Up on Open Quotes
A quote that sits unanswered is lost revenue. Check open estimates weekly and send a short text to anyone who has not approved. Customers often just need a reminder, and approving takes them a minute online. The sooner they approve, the sooner the delivery goes on the board and the first invoice goes out.
Keep It on One Path
A quote, a schedule and an invoice that all come from the same records will always agree with each other. See the full path on the PortaPottyBossPro porta potty billing software page.
