Mid-Event Service at Multi-Day Festivals: Pumping Porta Potties While the Gates Are Open

A one-day party rarely needs service. A three-day festival without service is a disaster by Sunday afternoon. Mid-event service is what keeps units usable, keeps lines short and keeps the organizer happy enough to book you again next year.

Why Multi-Day Events Need Service

Planning the weekend deliveries, as in Weekend Event Porta Potty Deliveries: Planning the Friday and Monday Routes, gets the units to the site. For festivals, fairs, camping events and multi-day races, that is only the start. Units fill up, paper runs out, hand wash stations run dry. A festival that ignores service will see units closed or unusable on the busiest day.

Service is also a selling point. When you explain service visits on the estimate, the organizer understands what they are paying for and why it matters.

Organizers who have run festivals before know this, and they judge porta potty companies partly on how well they plan service. A first-time organizer may not, and a short explanation of why a Saturday morning visit matters is often what earns their trust. Either way, a clear service plan on the estimate sets you apart from a company that just drops units and leaves.

Put Every Visit on the Estimate

Build the festival estimate with a line for each service visit, from your own service list. A three-day festival might have one visit each morning, plus an extra visit on the busiest night. Spell it out so the organizer can see the plan: "Service visit, Saturday 6am. Service visit, Sunday 6am."

When the estimate is approved, those visits become scheduled services, each on its own day. They show on the Waiting List and on the dispatch board for that day.

Timing: Before the Gates Open

The best time to service a festival is before the crowd arrives. Pumping units in a packed crowd is slow, awkward and unpleasant for everyone. Ask the organizer when the gates open each day and when the service gate opens for your truck. Schedule the visit for that window and put the times in the notes on each job.

Late-night service after the gates close is the other option, especially on the busiest days. Some large events want both. Discuss it during booking and price it on the estimate.

Servicing Banks in Order

A festival might have four or five banks of units spread around the grounds. The placement notes on the job tell the driver where each bank is. Write the service notes in the order the driver should work through them:

The driver sees these on the job card on their phone. When the visit is done, they tap Complete, and photos from the driver app document the condition of each bank.

The Operations Contact

The organizer who signed the contract is probably not awake at 6am. The operations contact is. Put that person in as a site contact with their cell number. When the driver heads out, the contact gets the automatic "on the way" text, so they can open the service gate. If they reply with a problem, like a bank that was moved overnight, it lands in the office's two-way texting.

Extra Visits During the Event

Sometimes a bank needs more service than planned. A beer garden is busier than expected, or the hot weather drives more water and more trips. When the organizer calls for an extra visit, add it as an extra pump-out job. It lands on the Waiting List and you can assign it to the nearest truck. The driver sees it on their phone in route order.

Make sure the organizer knows extra visits are billed at your rate, and confirm it in a text so there is a record.

Billing the Service

Every service visit is a line on the invoice, with sales tax handled per site. Extra visits are added as they happen. When the festival is over and the pickup is completed, the invoice shows everything: units by type, delivery, each service visit and pickup. If the organizer is a repeat account billed monthly, it all lands on one statement labeled by site address.

Learn for Next Year

After the festival, look at which banks needed extra visits and which barely needed service. Write a note on the client record. Next year you can recommend more units in the busy spot, or an extra visit on Saturday night, and the organizer will see that you were paying attention.
