Reports by Contractor Account: Knowing Which Builders Pay Your Bills
You Cannot Manage What You Cannot See
Most porta potty owners have a gut feeling about their best contractors. Sometimes the gut is right. Sometimes the builder who calls the most is not the one who pays the most, and the quiet general contractor with three long sites is quietly the biggest account you have. Tags, covered in Contractor and Builder Tags: Organizing Construction Porta Potty Customers, sort your customers. Reports tell you what they are worth.
Why Account Structure Makes Reports Work
Reports by account only work if each contractor is one client with many sites. If you created a new client for every project, a builder's revenue is scattered across a dozen records and no report adds it up correctly. That is why the setup in One Contractor Account, Many Job Sites: Setting Up Porta Potty Clients the Right Way matters so much.
With one client per contractor, every delivery, service visit, extra pump-out, relocation and pickup at every site rolls up to that client. A report by account shows the true total.
What to Look At
A few questions are worth answering regularly:
- Which contractors brought in the most revenue this month, this quarter and this year?
- How many sites does each contractor have active right now?
- Which sites have units that have been out the longest?
- Which contractors have past-due balances, and how old are they?
- How much of total revenue comes from construction tags versus other customers?
None of these need a spreadsheet when the data is already in the system. Run the report, look at the top and bottom of the list, and act.
Using Reports to Plan Service
A contractor who brings in a large share of your revenue deserves your most reliable driver and your fastest response on requests. Reports make that visible. If one builder accounts for a big part of your construction business, a missed service at their site is not a small problem.
Reports also show where routes are heavy. If many active sites belong to builders on one side of town, it may make sense to dedicate a truck to that area on certain days. The Waiting List map shows you where the due stops cluster; reports show you what they are worth.
Look at the bottom of the list too. A contractor who used to send you several projects a year and has gone quiet is worth a call. Maybe they slowed down, maybe they went to another company, maybe a new project manager does not know you. Any of those is better to learn now than at the end of the year. A short text asking how business is going costs nothing and often brings in the next job.
Reports can also show which kinds of construction work pay best for your company. If short roofing jobs keep your trucks busy but bring in less than a few long commercial sites, that tells you where to put your sales effort and your best drivers.
Using Reports to Watch Cash
Construction accounts on monthly billing can carry large balances. Reports by account, combined with past-due follow-up, show which contractors are paying on time and which are slipping. Catching a slow payer early lets you talk to them while the balance is still manageable. Card on File or Net Terms: Choosing How Contractors Pay for Porta Potties covers payment terms.
Finding Forgotten Rentals
One of the most useful checks is how long units have been out at each site, which the lists show on every rental. A site with units out for a long time and no recent service requests may be a project that ended without anyone calling for pickup, or a stalled project where units sit unused. Rental tracking keeps billing extra days automatically, but the contractor may be unhappy to see them. A quick text to the super resolves it before it becomes a dispute.
Reports for the Contractor
Contractors sometimes ask for their own summary: total spend for the year, or charges by project for a job cost report. Because every line is tied to a site, you can give them that quickly. That kind of service makes your company easier to work with than one that has to dig through paper invoices.
Share good news with your team too. When reports show a builder's business growing, tell the drivers who service those sites. Drivers who know an account matters tend to take a little more care with it, and that care is what keeps the account growing.
Make It a Habit
Pick a day each month, maybe the day after statements go out, and spend half an hour on reports. Look at the top contractors, the past-due list and the long-out sites. Over a year, that habit changes how you run construction accounts.
